Cookerly PR is seeking a highly organized, proactive and professional executive assistant to the CEO at our growing integrated communications firm. The ideal candidate will thrive in a fast-paced, client-focused environment, ensuring the CEO is well-prepared and operations run smoothly. This role requires excellent communication skills, attention to detail and the ability to anticipate daily agency and client needs.
Key Responsibilities:
- Manage and organize CEO’s schedule and appointments.
- Handle incoming calls, emails and correspondence in a professional and timely manner.
- Prepare, proofread and distribute documents, reports, presentations, spreadsheets, etc.
- Coordinate meetings, conferences and speaking engagements.
- Maintain filing systems (digital and physical) to ensure accurate and current recordkeeping.
- Support new business development efforts with research, pipeline management, preparation of pitch materials and more.
- Track deadlines, media opportunities and other client deliverables (in support of CEO’s client roster).
- Assist in development and coordination of CEO’s board positions.
- Order and manage office supplies and equipment, in support of office manager.
- Assist with expense reporting, billing projections and monthly estimates, invoicing and budget tracking, as needed.
- Support onboarding and HR-related administrative processes as needed.
- Maintain confidentiality of sensitive information and uphold organizational policies.
- Provide general office support to internal team and visitors.
Qualifications:
- Bachelor’s degree in communications, marketing, business or related field preferred.
- 3+ years of experience as an executive assistant, preferably in a fast-paced professional services environment.
- Outstanding written and verbal communication skills.
- Strong organizational and multitasking abilities, with excellent attention to detail.
- Proficiency in Microsoft Office Suite and other project management tools; expertise in Excel preferred.
- Eagerness to learn PR SaaS-focused platforms to support possible agency and client needs.
- Professional presence and client service mindset.
- Ability to stay calm under pressure, meet deadlines and handle confidential information with discretion.
Work Environment:
- Full-time, in office position (Monday to Friday), with occasional after-hours support for events or major agency initiatives.
